Barton Technology Ltd (trading as Cloud Plus) is committed to protecting the personal data of everyone who interacts with us. This policy explains what we collect, why we collect it, and your rights under UK data protection law.

2. What data we collect

We may collect the following categories of personal data:

• Contact details — name, business email address, phone number, job title
• Business information — company name, size, and IT requirements
• Communications — emails, form submissions, and support requests you send us
• Technical data — IP address, browser type, pages visited, and referring URLs (collected via cookies and analytics tools)
• Service data — system and network information we access as part of delivering managed IT services to clients

3. How we use your data

We use personal data for the following purposes:

• Responding to enquiries and providing quotes
• Delivering and managing IT support services under contract
• Sending relevant service updates, security alerts, and account communications
• Sending marketing emails to business contacts (where you have given consent or where we have a legitimate interest)
• Improving our website and understanding how visitors use it
• Complying with legal and regulatory obligations

4. Legal basis for processing

We rely on the following lawful bases under UK GDPR:

• Contract — processing necessary to deliver our services to clients
• Legitimate interests — B2B marketing and fraud prevention
• Consent — where you have opted in to receive marketing communications, and for all analytics and advertising cookies (see section 7)
• Legal obligation — where we are required to process data to comply with the law

5. Who we share data with

We do not sell your personal data. We may share it with:

• Service providers — third-party tools we use to run our business (e.g. email platforms, CRM software, cloud infrastructure). These are bound by data processing agreements.
• Advertising and analytics providers — where you have agreed to advertising cookies, Google (Google Ads) and Meta receive information about your visit so we can measure our adverts and show them to you again. See section 7.
• IT partners — where we sub-contract specialist work as part of a client engagement, under appropriate confidentiality obligations
• Regulators or authorities — where required by law

All third parties we use are required to process your data securely and only for the purposes we specify.

6. Data retention

We retain personal data only for as long as necessary. Client data is held for the duration of the contract and up to six years afterwards (in line with UK limitation periods). Prospect and marketing data is retained for as long as we have a legitimate interest in contacting you, or until you unsubscribe or ask us to stop.

7. Cookies, analytics and advertising

Cookies are small files stored on your device. We group ours into three types, and you choose which ones we may use when you first visit the site.

• Strictly necessary — needed to make the site work (security, load balancing, remembering your cookie choice). These are always on and do not need your permission, because the site cannot be delivered without them.
• Analytics — help us see how the site is used so we can improve it. We use Google Analytics and a privacy-first analytics tool. These are only used if you agree.
• Advertising — used for advertising and remarketing. This means measuring whether an advert led to an enquiry, and showing our adverts to people who have visited this site before as they browse elsewhere. These are only used if you agree.

Where you allow advertising cookies, we use Google Ads and Meta (Facebook and Instagram) for this. We may add other advertising platforms in future — any platform we use will be for the same two purposes described above (measuring adverts and remarketing), and will only ever run with your advertising consent.

Our lawful basis for analytics and advertising cookies is your consent. Nothing beyond strictly necessary cookies is used until you choose, and choosing to reject is as quick as choosing to accept. Analytics consent and advertising consent are separate decisions — agreeing to one does not opt you into the other.

Changing your mind.Select “Cookie settings” at the bottom of any page to bring the choices back up and change them at any time. You can also clear cookies in your browser settings. Withdrawing consent does not affect anything done while consent was in place.

We also send Google a signal recording your cookie choice, so that Google’s own tools respect it. If you refuse advertising cookies, advertising identifiers are removed from any request made from this site.

8. Your rights

Under UK GDPR, you have the right to:

• Access — request a copy of the personal data we hold about you
• Rectification — ask us to correct inaccurate or incomplete data
• Erasure — ask us to delete your data in certain circumstances
• Restriction — ask us to limit how we use your data
• Portability — receive your data in a structured, machine-readable format
• Objection — object to processing based on legitimate interests, including direct marketing
• Withdraw consent — at any time, where processing is based on consent

9. Data security

We take security seriously — it is central to what we do. We use industry-standard controls including encryption, access controls, and regular security reviews to protect the data we hold. In the event of a personal data breach that is likely to affect your rights and freedoms, we will notify you and the ICO as required by law.

If you are unhappy with how we have handled your data, please contact us first at hello@cloudplusit.com. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of the page will always reflect the most recent version. Significant changes will be communicated to clients directly.
